Opportunity means a decision maker who showed interest: they asked for the training offer, a call or a proposal. Hours saved is an estimate, explained below.
About WhyAI
WhyAI teaches teams to use AI in their daily work: talks for management, hands-on workshops and full-day AI hackathons. Founder Antanas Bernatonis and his team list 200+ clients and 300+ workshops on their site, including Vinted, Ogilvy Vilnius and Vilnius city municipality.
The challenge
WhyAI had a strong product and happy clients. What it did not have was a reliable way to win new corporate clients without the founder's time.
| Challenge | Why it hurt |
|---|---|
| New clients came mostly from inbound and the founder's network | Growth depended on who happened to call. There was no repeatable channel to the big companies WhyAI wanted. |
| A small team that also delivers the training | Every hour spent finding leads was an hour not spent teaching. Prospecting kept losing. |
| A cold calling agency that booked meetings, but no deals | Money and calendar time went to meetings that never closed. The team was wary of outsourcing sales again. |
| A crowded, new category | Several Lithuanian providers sell AI training. Many buyers did not yet see why their team needed it, so generic offers were ignored. |
| A small, finite market | Lithuania has only a few thousand companies large enough to buy team training. Spamming them would burn the market for years. |
| No list of decision makers, and a domain to protect | There were no verified emails for CEOs and HR heads. Sending cold email in volume from whyai.lt risked pushing the main domain into spam. |
Markets and focus
We focused on Lithuania's 5,000 largest companies.
| Market | Who we reached | Companies | Volume | Result |
|---|---|---|---|---|
| Lithuania | CEOs and managing directors, department heads, HR and training managers | The 5,000 largest Lithuanian companies by headcount, across sectors: retail chains, banks, media groups and more | 4,926 decision makers by email, 464 on LinkedIn | Reply rate: 13.8% by email, 18.8% on LinkedIn |
The solution
We built a system that does the non-selling work: finding the right people, researching them, writing, sending and sorting replies. WhyAI's team only had the conversations.
| Building block | What it did for WhyAI | Why we used it | Tools |
|---|---|---|---|
| 1. AI lead research | Took the 5,000 largest Lithuanian companies from the company registry and found the CEO and department heads at each. An AI research assistant then read each company's activity and wrote 3 short AI training ideas for that person's team. It also greeted each person with the correct Lithuanian form of their name. | WhyAI sells to bigger teams, so company size had to be known first. AI training only interests a buyer when it fits their own work: 3 ideas for their team beat a generic brochure. | Rekvizitai.lt company registry, LinkedIn Sales Navigator, Clay (a data platform that combines 100+ data sources and AI in one table) |
| 2. Email finder and verifier | Found the work email of each decision maker and checked that every address exists before anything was sent. | Emails to dead addresses tell Gmail and Outlook you are a spammer. Clean lists meant 97.2% of emails reached a valid address. | Findymail |
| 3. Automated outreach tool, a sequencer | Sent personal emails, follow-ups and LinkedIn messages on a schedule, and stopped as soon as someone replied. We tested 4 email versions side by side, plus separate messages for CEOs and for HR. | No person can send 7,000 personal messages and follow-ups on time. Testing showed what worked: the best version got 19.5% replies, the weakest 11.9%. | Reply.io |
| 4. Connected CRM | Sent interested leads into WhyAI's own CRM, their customer database, with the conversation attached. | Nothing got lost between a reply and a call. The team saw every opportunity in 1 place. | Pipedrive |
| Extra: separate sending inboxes | Set up new inboxes for outreach, used them gently for weeks before the campaign (warm-up) and kept daily volume per inbox low. | Protects the whyai.lt domain and keeps emails out of spam folders. | Zapmail |
| Extra: reply handling | Our team read every reply, sent the training topics PDF and the booking link, and handed interested people to WhyAI. | The founder only spent time on people who wanted to talk. | Reply.io inbox, WhyAI booking page |
What made the difference. Half of the campaigns carried 3 AI training ideas written for each decision maker and their team. Those campaigns brought a higher interest rate than the campaigns without the ideas. A buyer who sees how AI fits their own work is more likely to ask for the offer.
What changed
These are tracked results, not estimates.
| Metric | Result | Tracked in |
|---|---|---|
| Companies researched | 5,000 largest companies in Lithuania | Lead research table |
| Decision makers reached | 7,246: 6,608 by email, 638 on LinkedIn | Reply.io |
| Emails delivered | 97.2% reached a valid address, 2.8% bounced | Reply.io |
| Replies | 762: 716 by email, 46 on LinkedIn | Reply.io |
| Email reply rate in Lithuania | 13.8% overall, 19.5% for the best version | Reply.io |
| Opportunities | 194 in the first 2 months, January and February 2025 | Reply.io |
| First interested replies | In the first days after launch | Client messages |
| WhyAI hours spent on prospecting | Close to none. The system and our team did the research, sending and reply sorting. | Project setup |
Antanas told us the system worked better than expected and his team could not keep up with the interested leads. The calls were good: in the first 2 months the team reported tens of qualified meetings and several signed deals, far more than with the cold calling agency. WhyAI did not share the exact number of deals, so we project them separately below.
Extra benefits
- A failed channel replaced. Cold calling meetings that never closed gave way to conversations with people who asked for the offer.
- Founder time back. Antanas kept teaching. He stepped in only when someone wanted to talk.
- Main domain protected. All outreach ran from separate inboxes, so whyai.lt stayed clean for client email.
- Market lessons in weeks, not quarters. HR managers replied more often than CEOs, 13.1% vs 11%, so WhyAI knows who to approach first. The team also got a quick, low-cost test of foreign markets without hiring anyone abroad.
- Reusable assets. A researched table of Lithuania's 5,000 largest companies, tested messages and a winning subject line that sets the benchmark for WhyAI's next campaign.
What this could be worth
The numbers below are estimates, not results reported by WhyAI. We keep them apart from the tracked results on purpose.
Work the system did
| Estimate | Value | How we calculate it |
|---|---|---|
| Value of outreach work | about €32,600 | 7,246 decision makers x €4.50, the typical in-house cost to research and contact 1 person in Lithuania |
| Manual work saved | about 1,200 hours, or 7.5 months of 1 full-time person | 7,246 x 10 minutes to find, research, write to and follow up with 1 person; 160 working hours a month |
This is the value of the activity, not a return. Much outreach never turns into a deal. It shows the work the system did instead of people.
Projected deals within 12 months
| Scenario | Opportunities that become clients | Projected deals |
|---|---|---|
| Pessimistic | 5% | 10 |
| Average | 10% | 19 |
| Optimistic | 15% | 29 |
Assumption: 5% to 15% of interested leads become clients within 12 months, a typical range for mid-market B2B sales. WhyAI does not share deal sizes, so we do not estimate revenue.
In WhyAI's words
The system worked better than we expected and we couldn't handle all the interested leads. The conversations we had were great. We closed way more deals than working with a cold calling agency, and now we highly recommend Vytas' AI-powered solutions.
Antanas BernatonisFounder, WhyAIWhat happened next
Antanas took the results on stage. At Pardavimų formulė 2025, Lithuania's largest sales conference, he presented the case: how an AI-powered outreach system brought WhyAI more B2B leads than the team could handle. He showed a QR code that led to a Lean Sales Systems form.
- 234 people scanned the QR code.
- 40+ high-intent leads left their contacts in the form or reached out to us on LinkedIn and through our website.
- Nobody from Lean Sales Systems attended the event.
A system problem, not a hiring problem
Most companies treat new clients as a hiring problem: add a salesperson, or pay someone to cold call. It is a system problem. Lean Sales Systems builds the research, outreach and follow-up system, and your people have the conversations. See more results in our B2B case studies.
FAQ
How fast did WhyAI see results?
Setup took about 4 weeks in December 2024, including warming up the new inboxes. Campaigns launched on 2 January 2025. The first interested replies came within days, and 194 opportunities followed within 2 months.
How much time did WhyAI's team spend on it?
Almost none until a lead was interested. Lean Sales Systems researched the companies, wrote and sent the messages, and sorted the replies. WhyAI shared its offer and a list of existing clients to exclude, then took the calls.
Which companies did WhyAI target?
Lithuania's 5,000 largest companies by headcount: CEOs, department heads, HR and training managers. Lean Sales Systems researched each company first, and half of the campaigns carried training ideas written for that person's team.
